Completing Online Recommendations
The KU OSA online system (JayhawksAbroad Application) for all study abroad program applications allows for recommendations to be submitted online or for a hard copy to be sent to our office.
When students apply to a program that requires at least one letter of recommendation, they will be given the option to send an email request to their recommender so that the recommender can complete the recommendation online. Once the student’s request is entered into the system, an email will automatically be generated using the email address specified by the student to the recommender. This email will include the student’s name, the study abroad program they are applying for and any additional information the student chooses to add. It will also provide the recommender with detailed instructions for completing the recommendation online.
There are two ways to submit a recommendation form online, and the instructions for both will be in the recommendation request email.
The first option is to login to the study abroad website as a user, thus creating an online “Recommender” account. The OSA highly recommends that KU Faculty & Staff use this option because it will allow you to see a list of all your pending recommendation requests, view recommendations that you have completed, and communicate more effectively with the study abroad office.
When you use the system for the first time, the email request/instructions you receive will include a username and temporary password (the username will be the full email address where you received the recommendation request), which you can use to login to the system the first time. The system will then prompt you to reset your password, and that step completes your account setup. Once you have created your account, new recommendation requests from other students will require the same username/email and password to login again and complete their form.
Please note: if a recommendation is requested by a student using a different email address from the one which you used to create your OSA account, you will then have two different logins. It is for this reason that the OSA highly recommends for any faculty/staff who have multiple email addresses to always give students the same email address for recommendations.
The second option for completing recommendations online is more useful for Non-KU faculty and staff, who will not be filling out multiple recommendations in the KU OSA system each semester. This method allows the recommender to go directly to a webpage with the student’s recommendation form. You will not be able to see a list of pending recommendations when using this method. The recommendation request email will include a direct URL to the recommendation form. After selecting this link, you will be prompted to enter the recommendation ID and last name of the applicant. These items can be found in the recommendation request email, directly under the URL.
The type of recommendation and information that is requested may differ depending on the program. Some programs require an evaluation of the student’s language skills. If you cannot effectively evaluate the student’s language skills, please select the “Unknown” or “None” option.
If you experience difficulty in completing the online recommendation, please contact our office, firstname.lastname@example.org or 785-864-3742. We will work with you to try and resolve the issue. If it cannot be resolved, then a hard copy recommendation can be submitted to the OSA and the office staff will manually enter it into the system.
